Managing your subscription, free trial, and billing

How SiteDNA's free trial and subscription work: plan pricing and seats, subscribing and paying through Stripe, and managing your plan, billing frequency, invoices, renewals, cancellation, and refunds.

SiteDNA runs on a free trial and subscription model. This guide covers how the free trial works, what happens when it ends, how to subscribe, and how to manage your plan, seats, payment method, and invoices.

Your free trial

New accounts start with a 14-day free trial with full access, and no credit card is required to begin. A countdown in the app shows how long you have left. The trial does not automatically convert to a paid plan, and you will not be charged when it ends. To keep using SiteDNA after the trial, an admin needs to choose a plan and subscribe.

What happens when your trial ends or a subscription lapses

When your trial ends, or a paid subscription lapses, access to the platform is paused. While an account is paused you cannot view your existing data until an admin chooses a plan and pays. Nothing is deleted: your properties, issues, photos, and reports are safely retained and become visible again as soon as the account is on an active plan.

The plan and pricing

SiteDNA is one simple plan, the Professional subscription, at $89 base per month. The base includes 3 seats, and you can add extra seats for $9 per seat per month. You can pay monthly, or choose annual billing and get 2 months free (currently $890 per year, which works out to about $74 per month).

During your free trial you can add as many users as you like. Your paid plan starts with 3 seats, so if you have more than 3 active users when you subscribe, you can add seats at $9 per seat per month, or deactivate any users you no longer need before you subscribe.

The plan includes property and issue management, mobile capture on iOS and Android with offline mode, report links and PDFs for clients and crews, custom templates, tags and categories, property labels and team assignments, role-based permissions (Admin, Manager, and Standard), in-app chat support, and founder-led onboarding. The pricing shown at checkout is always the current pricing.

How to subscribe

An admin can subscribe from Company settings, then Subscription, then Manage plan. Choose monthly or annual billing, set the number of seats you need, and select Subscribe via Stripe. You will be taken to secure Stripe Checkout to enter payment. SiteDNA does not store or see your full card details.

Managing your plan, seats, payment method, and invoices

Everything is in Company settings, then Subscription. From there admins can change the plan, switch between monthly and annual billing, adjust seats, update the payment method, and view invoices and payment history.

Adding a seat takes effect right away and is prorated for the rest of the current billing period. Removing a seat, by deactivating a user, frees that seat to reassign to someone else at no extra cost for the rest of the period, and your billable seat count is recalculated at the start of the next period. Removing a seat does not create a refund for the current period.

Upgrades, downgrades, and switching billing frequency

Upgrades take effect immediately and are prorated for the remainder of the current period. Downgrades take effect at the start of your next billing period, with no refund for the difference in the current period. Downgrading may reduce access to some features or capacity.

Renewals

Subscriptions renew automatically at the end of each billing period at the then-current rate, unless you cancel before the renewal date. You can cancel any time up to and including the day before renewal. For annual plans, we email a renewal reminder between 15 and 30 days before the renewal date, with the date, the amount, and how to cancel.

Cancelling

You can cancel any time from the Subscription section of your account, or by emailing [email protected]. Cancelling stops future charges. You keep full access through the end of the period you have already paid for, and access ends at that point. Cancelling partway through a period does not refund that period.

Refunds

If you cancel your first paid subscription within 30 days of your first charge, you can request a full refund of that charge by emailing [email protected] within those 30 days. Approved refunds go back to your original payment method and usually appear within 5 to 10 business days. This first-term guarantee applies once per organization and does not cover renewals or added seats. Other than that, subscription fees are not refundable, including for partial periods or deactivated seats. If you think you were charged in error, email [email protected] within 60 days and we will look into it.

If a payment fails

If a payment does not go through, we will retry over about 14 days and email you so you can update your card. If it is still unpaid after that, the account may be suspended. Your content is retained during suspension, and access is restored once the balance is paid.

Who can manage billing, and where

Only account admins can choose a plan and manage billing. Billing is handled on the web app. On mobile you will be pointed to the web app to set up or update payment.
